BEFARe Administration / Human Resource Management (HRM) Department
The department looks after the administrative affairs of the organization and is supported by 6 Managers at the Sub Office (SO) level. Administrative tasks are hiring in consultation with the respective department heads, maintenance of FO's, repairs of vehicles, distribution of textbooks/materials, procurement etc. Furthermore, the department, in compliance with the project managers concerned, is also responsible for Human Resource Management of the organization.
In addition administration Organize events i.e. workshops, seminar, OD WS etc inside and outside the organization and looking after maintenance/repair and security matters of the premises. To facilitate the administrative activities of the sub centres. Receiving and maintaining good quality and adequate quantity of inventory to ensure timely and regular distribution of material to all units and sub centres. It Carry out administrative monitoring of the project Preparation and maintenance of BEFARe inventory. To be responsible for preparation and processing of the entire project short term expert contracts, local employees contract, lease agreement and other documentation as and when required.
However It represent the unit and on behalf of the Head of Central Services whenever required. Ensure and maintain a reliable transport for the achievement of different project activities. It act as a liaison between the sub centres, main office and carried out their coordination with the project units regarding transport requirement as well. Plan the needs of the sub centres based on their reports and ensure provision of the same. Close coordination with all sections in planning of material requirement on different projects.
The department participate in internal media and external meetings, seminars and workshops. They also support and evaluate media related issues. One of the prime responsibilities is to check project vehicles and their records regularly. Processing of procurement orders, checking inventory records and updating it.
Overall supervision for smooth and economical functioning to ensure quality services to other program management Office Units. Ensure smooth implementation of educational activities in the entire N.W.F.P covering all the sub-centers.
